Managing your profile
Your profile contains all the important information about you and your school program. It's essential to keep this information accurate and up to date, especially if there are any changes to your program (such as school name, ensemble type, or contact info). Keeping your profile current helps ensure smooth communication and accurate contest entry records.
⚠️ NOTE: If You Move to Another Program, You Need a New Profile. You cannot update your existing profile to reflect your new program’s information. Doing so would affect any entries you have already submitted for your current school. Instead, you must have a new profile created for your new program. Contact your Region Executive Secretary to set up a new profile when you change schools or programs.
⚠️ NOTE: Do NOT Enter Ensembles for Another Director. Each entry must be created by the director who will be listed as the primary conductor. If a director creates an entry from their own profile, the system automatically assigns them as the conductor, and this cannot be changed.
If an entry is submitted by the wrong director:
- The entry must be deleted
- The correct director must log in and re-enter the ensemble
Be sure the right person is logged in before creating any ensemble entries.
Your profile includes:
- Your full name
- The Division you are the director for (ie, Band, Choir, Mariachi, or Orchestra). If you are a director in multiple divisions, you will need to have an account for each division.
⚠️ NOTE: If your division is not correct in your profile, contact your Region Executive Secretary immediately to have it corrected. Having the wrong division will prevent you from seeing contest events specific to your division.
- The name of the school where you are a director.
- Your email - it is important to keep this up to date so that others may reach you if necessary.
- Address - this is the address of your school; NOT your home address or any other address.
Phone - you can enter the phone number that is best to reach you at, whether that is your cell or office phone.
*Entering your cell phone makes it easy for your Region Secretary to send text messages to you during competitions when there are last-minute changes to the schedule.
- Official Texas Region - It is very important that you have the correct region selected. Having the wrong region selected will prevent you from seeing the contest events for your region.
Performance Conference - you must have the correct conference selected. Having the wrong conference selected will prevent you from seeing the contest events for your conference.
⚠️ NOTE: The only information you can update in your profile yourself is your name, email address, and phone number. For any other changes, such as school, division, or ensemble type, please contact your Region Executive Secretary to make those updates.
