Creating a New Director

Before creating a new login, follow these steps to ensure it’s necessary:

Step 1: Check for an Existing Account

  • Verify whether the director already has a login for the specific school and program they manage.
  • If the director already has an account, advise them to use the password reset feature rather than creating a new login. Be prepared to provide their username, as they may not remember it.

⚠️ Important:

  • Make sure any previously associated usernames have not been set to “inactive.”
  • Reactivate if needed, rather than creating a duplicate account.

👥 Unique Logins Are Required Per Program

Each director must have a separate username for each school and each program they oversee.

🎓 Example:

Tom Smith is the director at Jones High School and manages both the band and the choir.

He will need:

  • One login for Jones HS Band (tsmithhsb)
  • A separate login for Jones HS Choir (tsmithhsc)

Creating a New User Login:

If no existing or deactivated accounts were found, let's create a new user login for the director!

Here's a step-by-step guide using your Region Executive Secretary Account:


Log in to your Region Executive Secretary account.


From the homepage, click on the "Director List" tile.

Click the green “+” icon in the top right corner to open the Director Creation page.

Select the school from the dropdown list. The school’s address will auto-populate.


🔍 If the school is missing:

      • Go to the “School List” page.
      • Create the school entry, including the school address and TEA Code.

Enter the director’s full name.


Create a username using the standard format:

FirstInitial + LastName + School Type + ProgramTypeLetter
 
  • Example: Tom Smith, band director at a high school → tsmithhsb
  • School type would be: HS, JH, or MS.
  • Program type letters:
      • B = Band
      • C = Choir
      • O = Orchestra
      • M = Mariachi
  • Ensure the username is unique. If the username is already taken, modify it slightly by adding a number at the end (e.g., tsmithhsb1 ).

Enter the director’s email address and phone number.

Email the director their username and instructions for creating their password.

Example: "I have created the username <Insert Username> for you to use to log in to Texas Music Forms. Please go to texasmusicforms.com, click on Directors, and use the Recover Password function to get started. If you do not receive a code within a few minutes of making the request, reach out again so we can see what is causing the issue."


Congratulations! The new director's account is set up. You can now view them in your Director List.
