How to Correct Late Fees for Reigonal Events

To begin correcting late fees, the Region Executive Secretary must log in to their Texas Music Forms account to adjust the contest entry deadline. Any entry submitted past the entry deadline will incur a late fee. No entries are accepted once the late entry deadline has passed.

Updating the entry deadline will affect all directors: those who previously incurred late fees will have those fees removed, and those who had not yet registered will temporarily avoid late fees. UIL does not permit selectively waiving late fees for specific entries using this method. If the date is later changed back to an earlier date, all entries—regardless of status—will again be assessed the late fee.

To remove a late fee charge you can follow the steps below.

  1. Click the icon for “Print Event Forms”

2. Select “Fee Statements (Invoices)” under Form to Print, then choose your school and event from the dropdown menus.


3. Click "Show Forms."

4. This will open the Contest Fee Invoice. At the top, you’ll see a notification bar that reads, “This school has invalid late fee flags. Click here for more information and to fix.” Click that bar.

5. You will be taken to a screen where you can correct the late fees.

6. This will show the events/students who have late fees.  The lines that are being charged a late fee have “True” under the Flagged Late and Charged Late columns.


AGAIN, REMEMBER THAT ONCE THE ENTRY DEADLINE IS MOVED TO A FUTURE DATE, IT CANNOT BE RETURNED TO A DATE IN THE PAST. UIL WILL NOT ALLOW A USER TO HANDPICK A SELECT ITEMS TO WAVE A LATE FEE USING THIS METHOD. IF THE ENTRY DEADLINE IS CHANGED BACK TO AN EARLIER DATE, ALL OF THE ENTRIES WILL ONCE AGAIN BE CHARGED A LATE FEE.

7.  Locate the line item with the issue and select the “Fix” box. If the school has multiple items that need correction, you can use the “Check All” box at the top to fix them all at once.

8. After selecting all the items you want to correct, click the “Apply Fixes” button in the bottom-right corner of the page.

Now you will see that the entry has been updated and the late fee is gone.  The entry has been corrected. 

Make sure to send a copy of the corrected invoice to the director.
